The Legal Assistant is a highly-valued and key member of the POET legal team who is responsible for providing key support to the team, specifically its members who support the CEO office. This position performs a wide variety of highly complex and confidential administrative tasks in a fast-paced, dynamic environment.


Your role as Legal Assistant is critical to the legal team’s delivery of timely, bespoke services to its key clients. You will be trusted to work with confidential and sensitive information, exercise a high level of discretion and present yourself in a professional manner.   • Schedule and coordinate business and personal appointments, engagements and travel, including researching, arranging and coordinating the details thereof (e.g., time/location, logistics, invitations, food/beverage, tickets/reservations, and agendas/itineraries).
  • Assist in the preparation of a wide variety of legal documents, including articles of organization/incorporation, operating agreements/bylaws, annual reports, board minutes, written consents, purchase agreements, including real estate purchase agreements, loan documents, demand letters, and legal memoranda.
  • Schedule board meetings and assist in the preparation of board agendas.
  • Assist legal team members and others prepare for internal and external meetings, including the preparation of presentation materials.
  • Process, manage and reconcile expenses and receivables, including the coordination of wire transfers and ACH transactions and prepare expense reports.
  • Assist with vehicle titling and registration.
  • Prepare and send correspondence, including email, on behalf of members of the legal team.
  • Maintain confidential files and databases.
  • Perform other complex and confidential administrative functions, as requested.

  • You have five or more years of administrative experience in a law firm, in-house legal department, trust company/department or family office.
  • You have a Bachelor’s or Associate’s degree (preferred). A high school diploma may be considered with a minimum of 5 years of related experience.
