JOB SUMMARY

As an Administrative Assistant to the People and Culture Team you ensure our people have the structure and capacity to be at their best every day! This role sits in a customer facing position, the experience you create for who you interact with is critical for our success. You deliver on this through scheduling meetings and video calls, preparing presentations, receiving visitors, taking notes, organizing key actions, and drafting communications. This role also works closely with the team’s Executive leader, and thus serves as an extension of this person to the business—driving POET’s culture, creating great team experiences, and acting as a strategic advisor. We need a person who has a high level of professionalism and integrity, as you frequently encounter confidential and sensitive information. This position also requires a high degree of cooperation with others and ability to work under pressure in a fast-paced environment. DURING A TYPICAL DAY

  • Effectively manage leader and team schedules and meetings.
  • Make all necessary arrangements for P&C team members.
  • Greet and welcome guests so they have an amazing experience at POET.
  • Research, draft, and construct compelling and visually appealing presentations and narrative proposals—including proper graphs, charts, and tables.
  • Write letters, emails, memos, and other written correspondence for the team. 
  • Join the leadership team to take concise and accurate notes and track action items.
  • Represent team leadership in a professional and courteous manner – create great team culture.
  • Be an advocate for optimizing team effectiveness.
  • Support other Administrative/Executive Assistants as needed.
  • Always maintain a team environment and champion POET in the community. 
  • Since we’re all about teamwork and getting the job done, your skill may be put to a lot of other uses! This could include flexing to support our People and Culture Coordinators when needed.

 

STRENGTHS OF A SUCCESSFUL CANDIDATE

  • High school diploma or equivalent required; Bachelor’s degree in a related field strongly preferred.
  • Three (3) or more years’ experience as an administrative/executive assistant.
  • Possess exceptional interpersonal skills with high emotional intelligence.
  • Ability to demonstrate confidentiality with sensitive information.
  • Communicate clearly and concisely, both orally and in writing.
  • Demonstrated ability to work independently and resourcefully to solve complex and ambiguous problems.
  • Ability to coordinate and prioritize work for multiple senior leaders and team members.
  • Ability to prepare effective presentations and proposals, including confidential material.
  • Exercise discretion, initiative, and independent judgment in making sound decisions and in developing solutions to problems.
  • Knowledge in Microsoft Office Suite and the ability and willingness to learn new software applications.
  • Excellent organizational, time management, and communication skills as well as the ability to adapt to change.

WORK ENVIRONMENT

  • Travel is rare for this position. At times overnight travel may be required for annual meetings.
  • This position operates in an office environment working at a personal computer where you may sit or stand.
