JOB SUMMARY

This position is new to our People & Culture team and is designed to deliver world-class people operations at POET!  This role encompasses a combination of new responsibilities, redefined responsibilities, and improving our current processes. The ideal candidate finds comfort in starting from scratch – but can also finish where someone else left off.  This position leads a journey to build out a optimized, effective, and scalable shared service capability over time.

 

This role will work closely with all People & Culture teams – including our business partners, recruitment, payroll and benefits—cross-functional collaboration is vital for success.  This role reports to the Director of People & Culture Operations and will work closely with the Director of People & Culture- Business Partners and the Talent Strategy Director (Recruitment).

 

DURING A TYPICAL DAY

Operations

  • Build an operations function focused on efficient people transactions and outstanding customer service.
  • Manage key operations projects to ensure timely and effective delivery.
  • Own amendments to the Team Member Handbook and Total Rewards & Benefit Book. Propose verbiage, obtain approvals, track changes, and roll out changes to the team member base.  Partnership across POET, including within the People & Culture team, is key.
  • Facilitate “Management of Change” best practices.
  • Create, monitor, and improve on key service delivery metrics.

Systems

  • Liaison between IT and People & Culture – help determine system priorities and coordinate system releases.
  • Lead master data governance for our HRIS system.
  • Reporting management – efficiently manage ad hoc and routine reporting requests.
  • Automate processes and implement improvements to POET processes and HRIS system. Continue to adapt to POET’s growing and changing workforce.

Compliance

  • Keep current on all pertinent federal and state laws. Conduct internal audits to ensure compliance with policies and procedures.  Elevate emerging compliance changes and suggestions to the People & Culture Leadership Team for evaluation.
  • Identify and mitigate risks within People & Culture processes. Assess compliance risks and propose mitigation strategies to the People & Culture Leadership Team.
  • Serve as our Record Retention Officer. Manage team member files and audit strategy.
  • Review other company policies and provide recommendations for enhancement, ensuring legal compliance and alignment with POET culture.
  • As AI continues to evolve, this role will stay abreast of compliance concerns and methods to reduce risk.
  • Compliance Program Management (Ex. harassment training, labor relations, etc.)- create training schedules, recommend changes, monitor completion. This role works with others to create content or present topics.

Leadership

  • Effectively manage the team by recruiting, selecting, orienting, and training team members. Leadership responsibilities also include delegating, coaching, managing performance, and career development to execute departmental strategies and support company objectives effectively.

STRENGTHS OF A SUCCESSFUL CANDIDATE

  • Bachelor’s/Associate’s degree required. Preferably in the area of Human Resources, Business, or similar. An Associate’s degree may be considered with a minimum of 10 years of related experience.
  • 5+ years of relevant experience.
  • Demonstrated experience managing an HRIS platform and strategy. Workday experience preferred.
  • Professional in Human Resources (PHR), SHRM Certified Professional (SHRM-CP) certification preferred.
  • Demonstrated ability to negotiate, consult, and influence various stakeholder groups.
  • Exhibits a people-centric focus to create a world-class experience within people operations.
  • Possesses strong business acumen.
  • Demonstrated success leading or participating in cross-functional projects or domains.
  • Data analytics skills and ability to use data to make process improvements.

  • Innovative in solving problems.
  • Effective communication, both written and verbal.
