JOB SUMMARY

This position is new to our People & Culture team and is designed to deliver world-class people operations at POET!  As the People & Culture Coordinator, you’ll play a key role in creating a positive employee experience by providing essential support across various functions. You'll be the go-to person for a wide range of People & Culture-related tasks, from responding to stakeholder queries to managing important compliance activities.

 

DURING A TYPICAL DAY

  • Serve as the initial point of contact for team members regarding general People & Culture-related inquiries. Provide timely, helpful responses to ensure a seamless experience for all employees. Respond to various information requests from stakeholders across the business, ensuring a smooth process and quick turnaround.
  • Responsible for external requests for information surrounding employment verifications, unemployment, etc.
  • Manage and execute submissions to external reporting agencies, including EEO reporting, new hire state reports, occupational and wage statistics, and more—ensuring accuracy and compliance at all times.
  • Maintain and audit employee records with precision, ensuring all files are up to date and ready for legal or People & Culture requests.
  • Support the organization’s record retention strategy and conduct audits to ensure data integrity and accuracy.
  • Support annual IRS compliance activities such as distributing W-2s and 1095-C forms, and coordinate audits to ensure I-9 compliance across multiple sites.
  • Process I-9s for new hires. Conduct audits of I-9 completion at other sites. Be a point of contact for other Administrative Coordinators completing this process.
  • Collaborate with the People & Culture Operations and Compliance Manager to update the Total Rewards & Benefits Booklet and POET Handbook, ensuring all policies reflect current needs.
  • Oversee and update the People & Culture intranet site, including coordinating POET anniversary recognition, making it a vibrant hub for all team member resources.
  • Support administrative functions for People & Culture as needed including scheduling meetings, organizing team lunches, making travel arrangements, etc. Coordinate recognition including birthdays and anniversaries within the team.

 

STRENGTHS OF A SUCCESSFUL CANDIDATE

  • Bachelor’s degree required; in a related field preferred.
  • Two years working in a Human Resources field or a related role is preferred.
  • Experience with employee records, compliance reporting, and auditing.
  • Demonstrated experience with confidentiality and sensitive information.
  • Communicate clearly and professionally, both orally and in writing.
  • Ability to complete a wide variety of tasks accurately and efficiently.
  • Experience in HRIS systems is preferred (Workday is a plus), as well as Microsoft Office Suite and the ability and willingness to learn new software applications. Strong Excel skills are helpful.
  • Excellent organizational, time management, and communication skills as well as the ability to adapt to change.
